Initial setup requirements
1. Under the Proposal / Images menu, please upload a landscape-format image (minimum 800 x 400 pixels, maximum 2 MB) that will appear in the header of the proposal email sent to guests.
If you plan to use multiple proposal templates (see: Segmentation Templates), you may upload several different images - for example, tailored to families vs. couples, different seasons, or special holiday weekends, etc.
2. Proposal / Settings menu:
Here, you can assign the uploaded image to the proposal email (this applies to the default proposal template).
A short introduction text is required for the property description section (for useful tips, see the related Help article in the admin interface).
You can also enter a short follow-up message (for helpful tips and sample templates, see the Help section in the admin interface).
You may configure the delay for sending the automatic follow-up email — meaning how many days after the proposal is sent the follow-up email should be delivered to guests who have neither completed a booking nor declined the proposal.
A custom message can be added to the Request for proposal thank-you page text box. This message will be displayed to prospective guests after they have submitted their inquiry. For a sample text, please refer to our article detailing the basic settings.
Optional configuration options:
Creating segmentation templates under the Proposal / Segmentation Templates menu
Under Message templates, you can create frequently used template responses that can be quickly inserted into the message field when sending proposals to guests. This helps save valuable time for each proposal sent (two sample templates have been set up as examples).
IMPORTANT: Don’t forget to also provide the texts in foreign languages.
3. Creating and sending a new proposal: from this point on, inquiries received via phone, email, or the current inquiry form can be entered and sent directly from the system’s New Proposal menu. We recommend that each colleague who will use the system first performs a test using their own private email address to see the process and experience exactly what the guest will see on the other side.
4. Integrating the proposal form into your website: by adding the form to your website, visitors who would otherwise request a proposal can be guided, thanks to the intelligent form, to make an immediate online booking instead. See the option: “Why request our email proposal when you can book available rooms online instantly?”
At the same time, guests still have the option to request a proposal, which means the inquiry will be received in the Proposal INBOX on the admin interface.
Guests who leave a text note on the inquiry form (assuming they have special requests) or request a proposal for dates already closed in RESnWEB are automatically added to the system’s admin interface. In all cases, the hotel receives an email notification. From there, the proposal process is the same as described in point 3: Creating and Sending a New Proposal.
Integration and website recommendations
As a reference for integrating the RESnWEB proposal form, it’s worth checking out, for example, the Bambara Hotel proposal request page.
You can test the inquiry process on an external interface before integration:
Regarding the placement and linking of the inquiry form alongside the online booking option, take a look at a few examples:
After the upload, we are happy to review the settings as well, if you wish. For activation, please also inform your web developer that the request-for-quote interface can be embedded into the website. For this, we will need the URL of the page where it will be integrated, after which we will send the script required for embedding.
We have prepared a guide for embedding the quote request module, which your web developer can use to complete the necessary setup.
IMPORTANT: The admin interface (https://resnweb.net/hoteladmin/) is fully optimized for Google Chrome, so it is recommended to use it in that browser. The interfaces used by guests, however, work perfectly in any browser.
