How does the RESnWEB - HostWare interface works?

Basic information about the two-way RESnWEB - HostWare connection

The RESnWEB - HostWare two-way interface allows, that:

  • the free capacities are automatically synchronized from HostWare to RESnWEB, so there is no need to manage manually the number of rooms that can be sold,

  • bookings received via the RESnWEB online booking engine are automatically transferred to the HostWare PMS. Future modifications and cancellations will also be transferred automatically by the interface.

In short, the accommodation can save many working hours and avoid errors due to human inattention.

The role and responsibility of HostWare in the connection

The main role of HostWare as a PMS (Property Management System) is to transfer the current inventory to RESnWEB either directly (direct RESnWEB - HostWare interface) or indirectly (channel manager connection).

In case of a direct RESnWEB - HostWare interface

  • In HostWare, under the Kategórialeltár / Foglaló motor (Category Inventory / Booking Engine) tab, you will find the accommodation's capacity data that is sent directly to RESnWEB.

  • The job of HostWare is to track the inventory decrease or increase and send continuously updates to RESnWEB. Thus RESnWEB always gets the currently available inventory of accommodation and sells the rooms according to the restrictions and settings of the extranet.

The allotments handed over by HostWare are displayed in form of numbers written in dots in Prices & Planning / Planning (Closing) menu of RESnWEB extranet.

If the number of rooms available for sale runs out on a given date and the accommodation does not have automatic inventory synchronization, RESnWEB will send you a notification letter when the number of rooms available for sale runs out. In case of automatic inventory synchronization, no such notification is sent, as the available capacity is continuously sent from the PMS.

The number of data received during synchronization and still waiting to be processed in the system will be displayed in a status bar in the Prices & Planning / Planning menu item. The status bar is not updated automatically, so the page must be refreshed periodically to see the current status.

The role and responsibility of RESnWEB in the connection

The main role of RESnWEB as an online booking engine is to transfer data directly to HostWare in the form of reservations, modifications and cancellations made through the system, as well as add-ons purchased during the reservation/modification process.

The advantage of the direct RESnWEB - HostWare interface is that the booked additional services are transferred to HostWare together with the room reservation, even with a debit memo. The additional services can be transferred to HostWare in different forms, which you can read about by clicking on the link.

If a voucher purchased through the RESnWEB gift voucher module is redeemed during the online booking, this will be shown in HostWare as a comment in the booking details in the form [redeemed voucher: voucher code].

Establishing RESnWEB - HostWare connection

Before establishing the connection, it is important to upload the room types, rates (package offers on RESnWEB) and additional services you wish to link between the two systems in both RESnWEB and HostWare.

HostWare colleagues need to be informed of the intention to connect. HostWare support can be contacted by email at support@hostware.hu or by phone at +36 1 469 9000.

HostWare will ask us for the necessary information to assemble the configuration. We send it to them, and they do the mapping. We will need to know if you want to synchronize the capacities as well. If so, we activate this function on our side, which will automatically transfer the capacity data from the HostWare Category Inventory / Booking Engine tab to RESnWEB. In this case, in the dots of the Planning (Closing) menu item, the allotments that are included in the PMS will automatically be displayed, so that the quantity corresponding to this capacity will be sold by RESnWEB.
