Notifications about completed online check-in forms

The property can request notifications about completed online check-in forms. These notifications are sent by email, and the submitted forms can also be printed directly from the notification email.

In the Pre-arrival / Settings menu, within the Settings section, you can enable the "Notification email of the completed check-in forms” option. Once activated, the property will receive notification emails whenever guests complete their online check-in forms.

After enabling the feature, you can choose between two available options on the interface.

Immediate notification upon completion of an online check-in form

The first option allows the property to receive a notification every time a guest completes an online check-in form.

In this case, a notification is sent for every completed online check-in form, regardless of the guest’s arrival date. The email is delivered immediately after the form has been completed and, naturally, contains only that single document.

The email displays the guest's name, arrival and departure dates, number of guests, and whether the reservation was made through RESnWEB or via another sales channel.

In the former case, the booking ID - or, for multi-room reservations, the booking IDs - will be displayed. In the latter case, the label External guest will appear instead.

By clicking the Print button, you can view and print the online check-in form.

Notification about online check-in forms of guests arriving on the same day

The second option allows the property to receive a notification once per day, at a specified time, containing the online check-in forms of guests arriving on that day.

You can specify the exact time at which the notification email should be sent. For example, if you configure the system to send a notification every day at 10:00 AM containing the online check-in forms of all guests arriving that day, then all forms received up to that time will be included in the notification email.

If a guest arriving on the same day completes their online check-in form after the specified notification time, a separate email notification will be sent to inform you of the newly submitted form.

In the scheduled notification email, online check-in forms are grouped by reservation, and each section contains the most important information related to the corresponding booking.

Should you need access to the online check-in forms at a later date, they will remain available in the Pre-arrival / Guests menu. In addition, the forms can also be printed directly from the Reservations / In-house + upcoming menu by clicking on the corresponding booking ID.
