By activating the calendar synchronisation, you can synchronise the calendars between RESnWEB and the OTAs (booking.com, szallas.hu, Airbnb). You can import your bookings from the OTA sites and export your RESnWEB bookings to the OTA sites' calendars.
The synchronisation of calendars is not in real time, so it does not provide full protection against overbooking. Automatic synchronisation takes place at a regular interval determined individually by the systems.
RESnWEB runs automatic synchronisation every 2 hours.
According to the information known at the time of writing this article:
Szállás.hu: The system synchronizes the imported calendars every 2-3 hours, but this can take up to 24 hours.
Booking.com: The system synchronizes the imported calendars every 2 hours.
Airbnb: The system synchronizes imported calendars every 3 hours.
IMPORTANT! The function is only available for room types with 1 physical room and no interface with other hotel software.
Switching on and setting the calendar sync function
To activate this feature, please contact our customer service.
If the function is enabled in RESnWEB, a box called Calendar synchronization will appear in the Hotel information / Room types menu item for each room type details of which there is physically 1 room.
The following settings are required to synchronise the calendars of the OTA sites:
1. Export calendar
In the Hotel information / Room types menu item, open the room type details by selecting Options / Modify next to the room type name.
In the box called Calendar synchronization, under Export calendar, click on the Export button to get a link.
In the external systems (extranet of OTA sites), the resulting link must be set in order to import the reservations on RESnWEB into the system of the OTA site.
You can copy the export link by clicking on the Copy calendar reference button:
2. Import calendar reference
Links extracted from the extranet interface of OTA sites should be set as references.
These settings can also be made in the Calendar synchronization box in the details of the room type.
Under Import calendar reference
enter the name of the external system in the Name field
copy the link extracted from the external system in the Reference field
then click on the Import button.
Click on the Import button, then in the Imported calendars table the name of the imported system will be displayed, and RESnWEB will start an automatic synchronization, if the Synchronization status column shows a successful status, then the data has been synchronized, the import was successful.
IMPORTANT! Synchronization runs automatically every two hours.
If necessary, you can start the synchronisation manually by clicking on the synchronisation icon, also marked in the screenshot below.
The process described above should also be followed for the other room types with one room.
Calendar synchronization during operation
If a booking is made on the OTA page, it will appear as a booking in the Prices & Planning / Planning menu item:
In this case, hovering the cursor over a given dot will display the name given when importing the calendars, so you can see which OTA site the date was closed by.
If you click on the price level on a given day to view the room restrictions, the number of available rooms for the closed dates will be 0, and next to it will be the number of rooms that are closed due to which OTA site. This indicates that the room type for that day is not sold on RESnWEB but on an OTA site.
If you see the above checkboxes in the Planning menu item, the room type will not be available for booking in the RESnWEB booking interface until the OTA site has made it available.
Cancel calendar synchronization
You can cancel both previously exported and imported calendars.
Cancel exported calendar
In the Hotel information / Room types menu item, when you open the details of the room type, in the Calendar synchronization box, in the Export Calendar section, you can delete the previous calendar link by clicking on the Remove calendar reference button.
If the calendar reference is deleted, RESnWEB will not send the updates to the calendars of the relaying sites.
Cancel imported calendar
In the Hotel information / Room types menu item, open the details of the room type by clicking on the trash can icon in the Imported calendars section of the Calendar synchronization box in the row of the OTA page you want to delete:
IMPORTANT! By deleting the imported calendar, all closures received through the channel will be deleted in the Prices & Planning / Planning menu item. After deleting the imported calendar, please close the booked dates in Planning manually!
After deleting the imported calendar, RESnWEB will not receive any updates from the given OTA site.
